Data Input Verification

It is an absolutely crucial task to make sure that data quality and consistency is maintained throughout the entire ERP system as it determines reporting and analysis capabilities. Thus every data input effort is validated by Comarch ALTUM on two possible levels:

  • obligatory – embedded in the business logic layer
  • optional – defined by a system administrator to govern specific validation rules used in a company

The optional validation engine offers multiple complex methods of data field validation such as range validation, string validation, domain validation, etc., offering two validation methods:

  • immediate – which checks the validity of information input in a field as you type it in
  • upon save – which performs validation when a user attempts to save a document or other form

The system allows you to define which fields of a given document are required to be filled out and if a specific format (i.e. postal code format) of data is required. As an example, you’re able to set the system to restrict an item code to be 8 digits long, or specify the domain group that the entered data comes from. Validation is based on one of many rules that can be edited and combined together. It is also possible to implement sophisticated custom validation rules (written in the .NET environment and possibly using the API of Comarch ALTUM) which offers almost unlimited possibilities for data verification.

Accounting Schemes and Financial Statement Editor

In order to automate posting of documents into accounts, Comarch Altum offers editable accounting schemes which allow defining how a type of document is journalized in the system. The system’s standard accounting settings can be adjusted with the Accounting Scheme editor allowing the identification of which accounts will be debited or credited for each source document, based on the document’s parameters and values. For example, you can debit the total amount on a sales invoice to accounts receivable, credit the tax to the VAT payable account, and credit the subtotal to your revenue account. Furthermore, accounts receivable can be broken down by customer (AR/customer1). Revenue can also be broken down by item or group (Sales/Fruit, Sales/Apples, etc).

Once you define the Accounting Scheme for a specific document, you will be able to create accounting documents and post information into accounts with a single mouse click.

The standard Financial Statements settings in Comarch ALTUM, such as the Balance Sheet or Profit and Loss Statement, can be easily modified within the Financial Statements Editor. You can also easily create new financial statements and accounting statements based on your chart of accounts.

Attributes & features

Attributes and features are very useful system functionalities which allow for detailed descriptions of system objects such as articles, customers and vendors, warehouses, documents etc. For example to describe products in the clothing industry, it may be wise to use attributes and features such as color, size, collection, theme and other clothing related attributes. They will allow you to identify products faster and more precisely when browsing through the system and differentiate your products, customers or vendors in reports and analyses that are available in Business Intelligence tools.

Attributes can also be used to describe documents issued in your company. For example you can add a field called 'sales channel' or ‘key account manager’ to the sales order document to include these additional pieces of information.

General System Configurations

The general system configuration allows for setting a great deal of parameters, attributes and default values of system objects, which is the first step in configuring the system. For example, all the following settings are customizable:

  • Configure directories used in the system (countries, currencies, employees etc)
  • Set currencies, tax rates, exchange rates (downloadable from the web), units of measure, etc.
  • Determine how the historical data should be stored and displayed
  • Choose methods and sequences of numbering used in documents

System updates

Comarch ALTUM enables you to work comfortably and efficiently with the system during daily operations, but also ensures that you will not have too much work when there is a need to update the system. The update process is extremely easy: Comarch Altum checks for updates and if they are available – downloads it to the server and then redistributes and installs it on all company workstations.
