Personal task inbox

Employee Inbox

The Employee Inbox is a part of the Comarch ALTUM system which resembles a mail program in the way it functions, but instead of managing email messages, it manages the tasks and required actions you assign to your employees with the BPM tool. The process of browsing and managing tasks is very straightforward - similar to standard inbox procedures. Each worker with access to Comarch ALTUM receives a personal inbox. The main purpose of the inbox is to always let employee know what actions to take and to track the completion of the assigned tasks.

You can receive two kinds of messages in the inbox:

  • Tasks – Certain steps within a process require the user to make a decision that will affect the further course of the process. Other processes require the user to perform certain actions manually, as they are far too complex to be automated and therefore require human interaction. In order to complete those tasks in a quick and easy way, the user can perform them directly in his inbox, using special forms.  As soon as the task is finished and confirmed by the user, the process moves on to the next step, sending another task or performing an automated activity.
  • Information – used for delivering certain information required for fulfilling a task or that is in regards to a process.

The process may also send messages with defined attachments.

Microsoft Outlook inbox

All tasks that are available in the Comarch ALTUM inbox can also be delivered to the Microsoft Outlook application. Therefore, the incoming action requests from the system are available in Outlook’s e-mails, tasks and events. As a result, you will be able not only to read the incoming information but also make decisions right away from your Outlook environment. For example, you can accept or reject an application for a business trip or, after opening up the purchase offer, type in the appropriate amount to be ordered and pass on the task to warehouse personnel.

Manual or cyclic?

Business processes may be activated manually (i.e. complaint process), by defining a cyclical date when the process will be automatically activated (i.e. margin comparison), or by activating a process automatically when a given event occurs (e.g. the automatic generation of a purchase order when the stock level falls below a minimum level).
